BASIC FUNCTIONS OF POSITION

• Provide complete administrative, logistical and data entry support to the staff of the PEPFAR (President’s Emergency Plan for AIDS Relief) Unit, consisting of PEPFAR Coordinator, the SI Advisor and the Program Management Assistant in carrying out day-to-day administrative functions.
• Maintain file system, scheduling activities and appointments, providing support for preparation of correspondence and documents, sharing relevant documents with other staff members, making travel arrangements and liaising with the USG agencies and other offices working on HIV/AIDS.
• Responsible for organizing regular PEPFAR meetings and taking minutes of the meetings.
• Arrange logistic support for TDYers as and when required and register visitors on the visitor list.
• Perform liaison functions with key partners such as Government of India, implementing partners and other partner agencies/NGOs for the purpose of coordination and administrative support related to the PEPFAR program.
• Maintain computer database of key contacts and inputs sensitive program related data into the PEPFAR data base.
QUALIFICATIONS REQUIRED
1. College Degree.
2. Minimum three years of progressively responsible secretarial and/or clerical experience.
3. Level IV (Fluency) in English and Hindi.
4. Knowledge of office procedures and practices, English grammar, Agency regulations and policies governing time and attendance, travel vouchers and per diem etc.
5. The ability to use personal computer databases and packages, software packages such as MS-Word, EXCEL, ACCESS, Power Point, e-mail, and CD-ROM applications.

Ordinarily Resident (OR): A citizen of the host country or a citizen of another country who has shifted the main residency focus to the host country and has the required work and/or residency permit for employment in country.

Not-Ordinarily Resident (NOR): Typically NORs are US citizen EFMs and family members of FS, GS, and Military Personnel who are on the travel orders and under Chief of Mission authority, or other personnel having diplomatic privileges and immunities.
